Conducting Meetings Remotely

We recommend using Microsoft Teams to have video meetings. Microsoft Teams is already installed on your work computer. It has the ability to share your screens, display a virtual whiteboard, take meeting notes for everyone to see, and even easily record your meetings! Teams can do far more than just host meetings, but for the purpose of this document, we will only focus on the meeting capabilities.

  1. Find your previously created meeting in Outlook. Double click the meeting item to open it and click on the Join Microsoft Teams link. It will open the following web page.
  2. Click Open Microsoft Teams.
  3. Microsoft Teams will open and you can join the meeting.

Joining a meeting from a mobile device is the same process - open the calendar invite and click the link. If you have the Teams app installed, it will open the app and join the meeting. If you don't have the Teams app installed, it will take you to a web page where you can download the Teams app prior to joining the meeting.

You can also choose to join meetings right from within Teams. These are the steps:

  1. Open Microsoft Teams on your computer or mobile device.
  2. Go to the Calendar tab.
  3. Click on the Teams meeting you created earlier.
  4. Click Join

You can easily have meetings with people that aren't on staff. They will also join by clicking the meeting link. They will have the option to join the meeting as a guest user and will not be required to login or have an account.

In a pinch, you can install the Microsoft Teams app on your personal phone or tablet and join meetings from there. Joining meetings from mobile is explained above.
